Job purpose: To assist in providing financial support and administration within the Finance Department, Head Office and our services throughout Scotland.


Key Accountabilities/Tasks
 
 


  • Prepare and produce sales invoices from computer system through liaison and various funding bodies.



  • Input income onto sales ledger.

  • Ensure sales ledger income is received timeously and that all problems are highlighted to Finance Manager.

  • Reconcile various control accounts including bank accounts and sales ledger accounts.

  • Reconciliation and maintenance of purchaser ledger when required.

  • Process payments and monitor income through on-line banking software.

  • Carry out internal audits of the services.

  • Assist the Finance Manager with the preparation of month/year end accounts and budget reviews where necessary.

  • Train and support administrators on financial procedures and the financial software package (Pegasus).

  • Contribute to the team in the all round running of a busy finance department.

Carry out other duties that may be required by the Finance Manager and Senior Management Staff.

Due to a current Finance Worker reducing their hours an opportunity has become available to join our busy Finance Department on a part-time job sharing basis working two days a week.  The days of work would be Monday and Tuesday.

Reporting to the Finance Manager, responsibilities will include:

  • Managing the sales ledger, including preparing and processing invoices and inputting income.
  • Credit control.
  • Carrying out internal audits.
  • Providing training and support to administrators.

Other Ad hoc duties as required

Education & Experience

Qualified to HNC Accounts or equivalent as a minimum.

Experience of working within a busy finance department.

Hands on experience of using a computerised accounting package and spreadsheets to provide financial records and information.

Knowledge, skills & abilities

Word processing skills and the ability to draft correspondence and reports with accurate spelling and grammar.

The ability to communicate effectively verbally and in writing with a wide range of personnel within the organisation and externally.

Able to work to deadlines and work simultaneously on a variety of tasks where there are competing priorities and organize your workload accordingly.

Able to work effectively both on your own and as part of a team.

Other requirements of the post

Flexibility in carrying out other duties that may be required by management.

Ability to work outside normal office hours.

Education & Experience

Knowledge of purchase ledger, sales ledger and reconciliations.

Ability to use your own initiative to analyse, understand and question financial information.

The salary scale for the post will be (reduced pro rata for part time posts, the full time equivalent is a 37 working hour week)

The annual leave entitlement will be (reduced pro rata for part time posts and will include a proportional entitlement to public holidays)
