JOB PURPOSE:           

To provide management support within the finance department, providing financial support to services and their managers and ensuring that services comply with the company’s financial procedures.

 

KEY ACCOUNTABILITIES/TASKS:

Budgeting

–     To assist services and managers with the annual budgeting process, liaising and offering assistance as required.

–     To review the annual budget submissions ensuring that they are appropriate and accurate.

–     To liaise with services and managers regarding ongoing budget issues ensuring that they are appropriate and accurate throughout the financial year.

–     To assist in the preparation of new budgets for tender submissions.

–     To provide external funders with budget information as required.

 

Management Accounts

–     To prepare monthly management accounts for each service for Turning Point Scotland

–     To review the monthly management accounts - analysing and interpreting variances and working with services and managers to investigate issue and implement solutions as required.

–     To reconcile all material balance sheet items at month end to ensure the accounts are square at the end of each month for Turning Point Scotland

–     To report to the Finance Manager on the management accounts.

–     To provide external funders with performance reports and future outcome reports.

–     Prepare the monthly management accounts for Turning Point Scotland Services.

–     Reconcile all material balance sheet items at month end to ensure the  accounts are square at the end of each month for Turning Point Scotland   Services.

 

Year End

–     To assist in the preparation of the year end audit file and statutory accounts.

–     To liaise with the external auditors.

 

Internal Audits

–     To manage the internal audit programme in line with agreed time frames

–     Report findings of all audits to the Finance Manager.

–     To ensure action plans are introduced and follow up audits carried out as required.

–     To carry out formal investigations concerning discrepancies in adherence to the financial procedures of the company.

 

Financial Support

–     To provide various levels of financial support to services and managers on a day to day basis.

–     To provide financial induction and training to new staff as required.

 

Staff Management

–     To provide line management support to members of the finance department ensuring that they are fulfilling their duties as laid down in their job description.

–     To provide supervision and appraisal to members of the finance department in line with company policy.

  

Accounting Systems

  • Sales Ledger

–     To ensure that invoices are sent out accurately and on time and to control and review the sales ledger ensuring that funds are received and recorded in a timely manner

–     To monitor the aged debtors

–     To Liaise with funding bodies regarding all aspects of income.

 

  • Purchase Ledger

–      To monitor and review the purchase ledger

–      To support staff in adhering to financial procedures relating to the purchase ledger system.

 

  • Bank/Petty Cash

–    To ensure the company’s bank accounts are operating in line with company policies.

–    To ensure all bank accounts have been reconciled at the end of each month.

Essential

Education and experience

 

1.          Fully qualified in a relevant accountancy qualification. (e.g. CIMA, ACCA etc.) Newly qualified will also be considered.

2.         Experience in a busy accounting environment.

3.          Hands on experience of using a computerised accounting package and spreadsheets to provide financial records and information.

4.          Experience of training and supporting non-financial staff in financial systems.

5.         Experience of supervising staff.



Knowledge, skills and abilities

6.          Ability to prepare, interpret and analyse financial statements and information.

7.        Ability to prepare and analyse financial budgets.

8.         Ability to reconcile bank, debtor and creditor accounts.

9.         Ability to apply sound accounting principles to problem solve.

10.       Ability to communicate effectively verbally and in writing with a wide range of personnel, including providing clear instructions and guidance.

11.       Ability to work to deadlines and work simultaneously on a variety of tasks where there are competing priorities.

12.       Ability to organise own workload, co-ordinate others and work as part of a team.

13.     Word processing skills and the ability to draft correspondence and reports with accurate spelling and grammar.

14.       Ability to develop other team members.

The salary scale for the post will be (reduced pro rata for part time posts, the full time equivalent is a 37 working hour week)

The annual leave entitlement will be (reduced pro rata for part time posts and will include a proportional entitlement to public holidays)

28 days per year, plus 8 public holidays and 2 local holidays.
